Problem

The challenge was to eliminate the need for physical venue visits while enhancing booking confidence and expanding venue options for event planners and their clients. The existing solution was cumbersome, restricting planners' and clients' ability to explore venues together, whilst in different locations.

Outcome

The project delivered an immersive experience that enabled planners and clients to interact and tour venues remotely, making informed decisions and boosting booking confidence. The website, dashboard, and VR app were designed to be user-friendly and intuitive, providing a cohesive platform for showreel creation, venue touring, VR headset control and property management.

Process

Conducted research to understand user needs, mapping user journeys to identify key pain points and opportunities. Designed the marketing website with another designer, ensuring a visually appealing and functional site. Collaborated with the team on an intuitive dashboard for showreel creation, venue listings, and a VR app to be used on the headset. Led the design of a control app for headset management.

Challenges

The main challenge was ensuring a cohesive visual experience across multiple platforms, each with varying constraints and needs. To address this, we conducted multiple design iterations to find a visual style that suited all platforms. Designing an app for a VR headset without hand controllers was a new experience, involving many additional challenges. Key considerations included highlighting the user's current focus and determining how long they should gaze at a button to 'press' it.

Marketing website

Key functionality

Communicates services to key stakeholders (event planners, venue owners, and content creators) while showcasing a comprehensive venue directory. This approach helps users determine whether the service meets their needs, facilitating upsell opportunities for the VR service.

Dashboard

'My Showreels' & 'All Properties' (for planners)

The dashboard enables event planners to create showreels, curated collections of VR venue content for clients to view via VR headsets. Planners can manage shortlisted properties, request booking information and availability, access the full property directory, and publish tours directly to clients' headsets.

'My Devices' (for planners)

The headset control app lets planners manage both their own and clients' headsets. They can cast showreels or individual property content to multiple headsets at once, control different showreels, and hold voice calls through the headsets. The app also displays a VR content queue and allows clients to 'free roam' properties without planner control.

'My Properties' (for venue owners)

This section of the dashboard allows venue owners to list their properties by adding detailed information, booking VR 360 production packages as needed, uploading property content, and managing its visibility to event planners.

VR App

Key functionality

The VR app, accessed through the client's headset, delivers an immersive venue experience that simulates an on-site visit. Clients can view showreels created by their event planner, save properties, read key details, view photos, and either be guided through tours or explore freely. The app also supports voice calls, searching with filters, and changes to key settings.
